Insights: how suggestions work and the Overview

Where the figures come from, when they refresh, what the Overview and the dashboard's Insights tiles mean, and how Accept and Dismiss work.

Who can do this: Everyone with the View insights permission can see Insights (by default owners, store managers and inventory clerks). Accepting, dismissing and Refresh now need Manage insights (owners and store managers).

What Insights does

Insights studies your own sales history and suggests what to do next: what to reorder, what stock is sitting still, which items sell together, and which till days look unusual.

The system suggests; you decide. Every suggestion says why, in plain words. Nothing changes in your shop until a person accepts it, and every accept or dismiss is recorded.

You find it in the sidebar under Insights: Overview, Forecast, Replenish, Stock health, Baskets, Loss prevention and Daily digest.

When the figures update

Insights refreshes every night at 03:00, after the stock count for the day is settled. In the morning you see figures based on sales up to yesterday.

If there has been no run yet, the Overview says so. A new shop can start the first run by hand.

  1. Open Insights → Overview.
  2. Press Refresh now (top right).
  3. Wait a minute or two. The message "Refresh queued - figures update in a minute or two." confirms the request.

Refresh now can be used once every ten minutes. If a refresh fails, the Overview shows the reason and keeps the previous figures on screen.

Reading the Overview

The first row is "Waiting for a decision": items to reorder, sales at risk, slow & dead items, and capital tied up. Click a tile to open Replenish or Stock health.

The second row, "Also in Insights", shows open loss-prevention alerts, basket pairs learnt, and a link to this morning's digest.

The Forecast accuracy card shows how many items are forecast, how many have a tested model, the median error over the last four weeks, and how many items are within 30 % error. Lower error is better.

The Last refresh card shows when the last run finished, how many weekly forecasts and recommendations it made, and how many suggestions were accepted or dismissed in the last 30 days.

The Insights tiles on the Dashboard

If you can see Insights, the Dashboard shows two more tiles under More figures.

Items to reorder: how many items Insights suggests you order now, with the sales at risk. If nothing is needed it says "stock covers the forecast demand". Click it to open Replenish.

Slow & dead stock: how many items are sitting still, with the money tied up in them. If there are none it says "nothing sitting still". Click it to open Stock health.

The Low stock tile on the same page is different. It only compares stock with the reorder levels you set yourself. Items to reorder uses the forecast and your supplier's delivery time.

Accept or dismiss

Accept acts on a suggestion. On Replenish it creates a draft purchase order. On Stock health, Put on offer opens a ready offer for the markdown.

Dismiss says no. A dismissed item is not suggested again for two weeks. An accepted item also stays quiet for two weeks, so the same order is not suggested twice while it is on its way.
