Getting started
Your first day with Sevo
Start the free trial, sign in for the first time, add sample data if you want to try things out, and work through the setup guide on the dashboard.
Remove the sample data
Delete all the sample products, stock, sales history, supplier and staff in one go, with everything you made with them while practising, when you are ready to work for real.
Signing in, passwords and signing out
How staff sign in, what to do with an invitation e-mail, how to reset a forgotten password and how to sign out.
The back office and the till

Install Sevo on your tablet, phone or computer
Open the till, tap ☰ then Install app. That's it. Sevo then opens from its own icon, full screen, and keeps working offline. Installing takes one tap. Steps for iPad, iPhone, Android, Windows and Mac.
Point of sale
Set up a till and open a shift
Add a till in the back office and open a shift with the cash in the drawer. A company with one till opens it straight away; the cash starts from the last count.
Ringing up a sale
Find products by barcode, name or item code, change quantities, add notes, and use the keyboard shortcuts on the till.
Discounts and price changes
Give a discount on a line or on the whole order, change a unit price, and how the discount limit per role works.
Repairs and warranty claims
Take in a device a customer brings back, check its warranty from its IMEI, print a job card, send it to the service centre and hand it back.
Layaway: put goods aside for a customer
The customer pays part now and the rest over time. The goods are kept for them, and handed over at the till once the rest is paid.
Gift cards
Sell gift cards at the till, let customers pay with them like money, check what a card holds, add money to it, refund onto a card and cancel a lost one.
Loyalty points
Customers earn points on what they pay and spend them at the till like money. Turn points on, choose how many a customer earns and what a point is worth, and see each customer's points.
Offers the till gives by itself
Set up % off, money off, any few for a price, buy some get some free, and spend-and-save offers with dates, days and happy hours. The till applies them without the cashier doing anything.
Customers on a sale
Attach a customer to a sale at the till, add a new customer in two fields, and look after the customer list in the back office.
Taking payment: cash, card, wallet, voucher and split
Use the payment screen to take cash with change, card, wallet or QR payments and vouchers, or split one bill between several methods.
Selling on account and store credit
Put a sale on a customer's account within their credit limit, get a manager's PIN when it goes over, let customers spend their store credit, and take a payment towards an account at the till.
Customer accounts, payments and statements
See what a customer owes and how late it is, give them credit, take a payment in the back office, send a monthly statement, and review sales flagged over a limit.
Receipts: print, PDF and e-receipt
Print the receipt, open it as a PDF, send it to the customer on WhatsApp or by e-mail, and reprint an earlier receipt.
Several orders at once and the Orders view
Keep more than one order open on a till, name and switch between them, discard an order, and find today's receipts.
Returns and refunds
Take goods back against the original receipt, choose what goes back on the shelf, and refund by cash, card, wallet, voucher or store credit.
Switching cashier with a PIN
Let several people share one till, each selling under their own name, by switching with a short PIN.
Clocking in and out at the till
Staff clock in and out on the till with their own clock-in PIN, even when the internet is down.
Closing the shift and the Z report
Count the cash drawer at the end of the shift, see the expected cash and the variance, and close the shift.
Working offline and the sync status
How the till keeps selling without internet, what the sync chip in the top bar means, and what to do when the server refuses a sale.
Sales history, voids, shifts and Z reports
See every completed sale in the back office, open its lines and payments, void a sale that should not have happened, and look up every shift's cash-up and Z report.
Products & prices
Products and variants
Add the things you sell with a name and a price; the item code is made for you. Products that come in sizes, colours or packs get a variant for each.
Import products from a CSV file
Load your whole product list from a spreadsheet in one go, using the downloadable template with the exact headers.
Categories
Group your products for browsing on the till and for reports, with sub-categories and a colour for each group.
Prices and price lists
Set your selling prices in a price list, keep more than one list if you need to, and choose which list the tills use.
Tax rules (VAT)
Set up VAT and other tax rates once, choose whether your prices include the tax, and link each product to its rule.
Packs and gift sets
Sell a 6-pack, a dozen or a gift hamper as one item with its own price and barcode, while stock stays counted in pieces.
Print barcode and price labels
Print shelf and product labels on a thermal roll or A4 sheet, and give items without a barcode an in-store one.
Archive products, variants and other catalogue items
Stop selling an item without losing its history: archive it instead of deleting it.
Inventory
How stock works: stock on hand and movements
Every change to stock is recorded as a movement. See what you have in each store and where every number came from.
Stores and warehouses (locations)
Create a location for every place that holds stock, so each store has its own stock, counts and transfers.
Opening stock
Enter the stock you already have when you start with Sevo, with a unit cost, so stock levels and stock value are right from day one.
Stock adjustments and approval
Correct stock outside a count, write off damaged or stolen goods, and see how large adjustments go for approval.
Transfers between stores
Move stock from one location to another. It leaves the sending store when sent and arrives as the receiving store records what came, all at once or in parts.
Stock counts (stocktaking)
Count what is really on the shelves, compare it with what Sevo expects, and post the differences in one step.
Expiry dates
Keep the expiry date of milk, medicine or biscuits: type it when goods arrive, sell the earliest date first, and see what is about to expire.
Serial numbers and IMEI
Sell phones and electronics by their serial number or IMEI: record each unit when it arrives, scan it at the till, print it with the warranty on the bill, and look any number up.
Stock valuation and average cost
See what the stock on your shelves is worth, how the average cost is worked out, and export the figures for your accountant.
Making your own products: recipes and batches
Write what goes into each product you make, see what one costs and what you earn on it, and record each batch: the ingredients come off stock and what you made goes on at what it really cost.
Purchasing
Buying from suppliers: the whole flow
How an order becomes stock and then a paid bill: suppliers, purchase orders, goods receipts, supplier invoices and payments.
Suppliers: add, edit, archive and import
Keep a clean list of who you buy from. Payment terms and currency set on the supplier flow into orders and bills.
Purchase orders: create, send and follow up
Create an order, add lines, send it (with approval if it is above your limit), download the PDF and follow it until it is received or closed.
Receiving goods and the goods receipts book
Post a goods receipt when a delivery arrives: full or partial, with the real cost and, for foreign suppliers, the exchange rate.
Correcting a goods receipt
Fix a receipt that was posted with the wrong quantity or cost, or take a whole receipt back, without editing it: the correction is a new document and the history stays.
Supplier returns and credit notes
Send damaged, wrong, expired or surplus goods back to the supplier: stock goes down, the supplier bills less or sends a credit note, and the return is printed or e-mailed.
Supplier invoices: matching bills to deliveries
Enter the supplier's bill against the goods you received, so you pay for what actually arrived and price differences are visible.
Paying suppliers
Record money paid to a supplier and decide which invoices it settles. Void a payment that bounced.
Reorder suggestions: let the system fill the order
Two ways to start an order from what is running low: reorder levels inside a purchase order, and forecast-based suggestions in Insights → Replenish.
Online shop
Set up your online shop
Give your shop a name and a web address, add your contact details and policies, and follow the "Ready to sell?" checklist.
Delivery and payment options
Choose where online orders are sent from, set delivery charges or collection from the shop, and switch on cash on delivery, bank transfer or PayPal.
Take PayPal payments in your shop
Let customers pay online with PayPal or a card: get your keys from PayPal, connect them in Sevo, and see what happens to the order and in your accounts.
Choose what to sell online
Pick which products appear in your online shop, take them off again, and add the photos customers see.
Open your shop and what customers see
Mark the shop ready to sell or closed, and learn what customers see when they browse, order and follow their order.
Handle online orders
Confirm, pack, send and deliver online orders, record bank transfers, print picking slips and invoices, and cancel orders.
Refunds and returns on online orders
Give money back for some or all of an order after it has been sent, and put returned goods back into stock.

Quotations
Quotations: make, sign and send
Give a customer a price on your letterhead, sign it with your own signature, and send it by e-mail with a cover letter or on WhatsApp. Customers can accept and sign on their phone.
Quotation settings: numbering and wording
Choose how quotations are numbered and how long they are valid, and set the wording every quotation and cover letter starts from.
Take the advance and bill a quotation
When a customer accepts, take the advance, bill each step of the payment schedule as an invoice when it is done, and take the payments. Everything goes into your accounts and the customer's account by itself.

Take a customer's order at their prices, keep the goods for them, and deliver it in one trip or several: each trip makes the delivery note for the driver and the invoice on the customer's account.
