What People is for
People keeps a record of everyone who works for you: cashiers, floor staff, drivers and office staff. It also handles leave, public holidays, weekly rosters and the time clock. Payroll uses these records to work out each month's pay.
The People menu in the sidebar has five items: Employees, Leave, Rosters, Payroll and My space. You only see the items your role allows.
Where to find each job
- People → Employees: add people one by one or import them from a spreadsheet, keep their documents, set a clock-in PIN, invite them to sign in, and end their employment when they leave.
- People → Leave: approve or refuse requests, ask for leave on someone's behalf, enter public holidays and working days, change the kinds of leave, and see the month on the Calendar tab.
- People → Rosters: plan each store's week, publish it, and see beneath each day what the till recorded. Download the week's hours as a CSV file.
- People → Payroll: pay set-up and the monthly payroll run. The Payroll articles in this help centre explain it.
- People → My space: every member of staff's own page to clock in and out, see their shifts, hours, leave, payslips and contact details.
How the pieces fit together
Leave is counted on working days only. Sundays (unless you work them) and public holidays inside a request are not deducted.
The till feeds attendance. When a cashier opens or closes a shift, rings up a sale, or anyone clocks in or out, the time lands on the roster and the person's timesheet.
Payroll reads overtime, hours on public holidays, no-pay days and days worked from the time clock and approved leave. The person preparing payroll can change these figures before submitting.
Requests that wait for a decision are counted on the sidebar: a number on People → Leave for waiting leave and on People → Payroll for a run waiting for approval. The Approvals page also shows a line pointing to them.
Who can do what
There are four People permissions: see people, manage people, approve leave, and their own space (My space).
TenantAdmin has all four. StoreManager can see people, approve leave and use My space. Cashier, InventoryClerk and the Employee role have My space only. The Employee role is for staff who only need their own page; when they sign in they land straight in My space.
Payroll has its own three permissions (see payroll, manage payroll, approve payroll). By default only TenantAdmin has them.
Nobody can approve their own leave, whatever their role. You can change what each role may do under Settings → Roles.
Only people who can manage employees see a person's whole NIC number. Everyone else sees it masked.
