Invite a user
The new user shows as "invited" until they sign in, then "active". If the e-mail went missing, press "Resend" on their row to send a fresh temporary password.
Your plan allows a certain number of users. When you reach it, the screen tells you and points you to Settings → Plan & billing.
- Open Settings → Users and press "Invite user".
- Enter the person's "E-mail" and "Display name".
- Under "Roles", tick one or more roles. At least one is needed.
- Press "Send invitation". They receive an e-mail with a temporary password and choose their own password at the first sign-in.
Change a user or take access away
Disabling keeps everything the person did, such as sales and stock changes, under their name. You cannot disable yourself.
- Click the person's row to open "Edit user". Change the name or roles and press "Save changes". The e-mail cannot be changed.
- To stop someone signing in, press "Disable" on their row and confirm. They are signed out and refused until you press "Enable" again.
Till PINs
When several cashiers share one till, give each a PIN. Press "Till PIN" on their row, type a 4 to 6 digit PIN twice (not 1234 or 1111) and press "Save PIN". On the till they tap their name and type the PIN, so each sale is recorded under the right person. "Remove PIN" takes it away.
The system roles
Every company starts with these roles. They are marked "System": you can edit them but not delete them.
TenantAdmin: everything, including users, roles, company profile, approval limits, currency rates, payroll and billing.
StoreManager: runs the shops. Products and prices, all stock work, purchasing, the till including refunds, discounts and shifts, sales reports, reading Finance, Insights, and People (viewing staff and approving leave).
InventoryClerk: stock work (adjustments, transfers, counts), receiving goods, reading purchasing and Insights.
Cashier: sells on the till and looks up products and stock.
Accountant: reads Finance, purchasing, stock, products and sales reports. Changes nothing. Suits an outside accountant.
Employee: only My space, with their own time, shifts, leave and payslips.
StoreManager, InventoryClerk and Cashier also have My space.
Make your own role
- Open Settings → Roles (or press "Manage roles" on the Users screen) and press "New role".
- Give it a "Role name" and a "Description".
- Tick the permissions it should have. They are grouped by area, such as catalogue, inventory and pos.
- If the role may give discounts, set a "Discount limit (%)": the most discount one sale can have. Leave it blank for no cap.
- Press "Create role", then give the role to users on the Users screen.
A person with several roles gets all their permissions together. Deleting a role takes access away from anyone who held only that role.
