Put the goods aside
A phone or another numbered product: choose the unit (scan its serial number or IMEI) when adding it to the cart, as for a sale. That unit is kept for the customer: the till does not offer it to anyone else, and the same unit is handed over.
- Add the goods to the cart as for any sale. A discount or an offer on an item stays with the layaway.
- Press Put aside for the customer, under Pay.
- Press Choose customer and pick the customer, or add them. The goods are kept for them.
- Choose how they pay and type the First payment. It is at least the shop's minimum (a tenth of the goods unless the shop changed it); the screen says how much.
- Check Pay by: the date the rest must be paid by. It starts at the shop's term (60 days from today unless the shop changed it); change it if you agree another date.
- Press Put aside. The layaway gets a number, such as LW-000001, and the cart is empty again for the next customer. Press Print slip and give it to the customer: it shows the goods, what is paid, what is left and the date.
The goods are kept out of what can be sold, so nobody else buys them. A discount on the whole sale cannot go on a layaway: take it off first, or give it on the items instead. Putting goods aside needs the internet.
Take a payment towards it
- Open the till menu and tap Layaways.
- Find it by its number, or the customer's name or phone number, and tap it.
- Choose how they pay, type the Payment and press Take payment. The screen says what is left to pay. Press Print slip for a new slip.
Pay in parts on set dates
The customer can pay more or less at a time: payments count against the plan in order, so a large one covers the next parts too. The till and the back office show the next payment and its date, and the layaway is late once that date has passed.
The customer's statement shows the layaway number beside each payment towards it.
- When putting goods aside, after Pay by, choose Pay the rest: In 2, 3, 4 or 6 payments.
- The screen lists each payment with its date and amount: equal parts, the last on the Pay by date. Change Pay by or the first payment and the list follows.
- Press Put aside. The slip shows the plan and the next payment.
A payment by bank transfer
- In the back office, open the layaway under Point of sale → Layaways and press Record a payment.
- Choose Bank transfer (or Cash or Card for money taken at the office), the Day it was paid and the Amount, and type the bank's reference if there is one.
- Press Record payment. It counts towards the layaway at once, the plan moves on, and Finance has it as a receipt (PAY-000012).
Recording a payment here needs the right to manage finance or customer credit. It is never more than is left, and the day cannot be after today.
Hand the goods over
The prices stay as agreed, even if a price has changed or an offer has ended since.
Do not change the goods in the cart: the sale must be what was put aside. If the customer wants something else, ask a manager to cancel the layaway (what they paid stays on their account) and make a new sale.
- Open the till menu, tap Layaways, find it and press Hand over.
- The cart fills with the goods at the prices agreed when they were put aside. What was paid is already taken off as On account.
- Take what is left, if anything, as for any sale and press Complete sale. The receipt is the customer's bill for the goods.
See them all, and the late ones
In the back office, Point of sale → Layaways lists them with what each customer still has to pay and the date to pay by.
The Late tab shows the ones past their date: call the customer. Handed over and Cancelled have their own tabs. Open one to see the goods and every payment.
Your own minimum and term, and reminders
To remind a customer, open the layaway and press Message the customer on WhatsApp: the chat opens on your own phone with the reminder typed in (what is left to pay, and by when). Check it and tap Send.
- Go to Point of sale → Layaways and press Layaway settings.
- Type the smallest first payment as a percent of the goods (from 1 to 100) and the days to pay the rest (from 7 to 365), then press Save. The till uses them the next time goods are put aside; layaways already made keep their date.
Cancel a layaway
The goods go back on sale. What the customer paid stays on their account: they spend it at the till by paying with On account, and it shows on their account under Point of sale → Customers.
- In the back office, open it under Point of sale → Layaways and press Cancel layaway.
- To keep a fee, type it under Cancellation fee (optional): never more than was paid. Leave it empty to keep nothing.
- Type Why, for example the customer changed their mind, and press Cancel it.
Cancelling needs the right to give refunds. Without it, the button is not there: ask the owner or a manager.
Pay a customer's credit back
It is never more than the shop owes the customer. Cash paid back leaves the drawer, so the shift's expected cash goes down by it, and the shift report lists it as Credit paid back. Paying back needs the internet.
- At the till, open the till menu and tap Customer payment, then choose the customer. A customer the shop owes money shows In credit.
- Press Pay back credit (managers and those who give refunds), choose Cash, Card or Wallet, check the amount and press Pay back.
