Write a recipe
- Go to Making → Recipes and press New recipe.
- Under What do you make?, find the product, for example Bread. It must keep stock: what you make goes into stock.
- Type how many one batch makes, for example 20.
- Under Add an ingredient, find each ingredient and type how much one batch uses. For an ingredient kept in kilograms you can choose g and type grams.
- If you like, type the labour and other costs (gas, electricity) of one batch.
- Press Save recipe. The list shows what one costs to make, its price and what you earn on each.
Ingredients are ordinary products that keep stock. Buy them as usual (Purchasing), so their cost is known and the recipe's cost is right.
Record a batch
The ingredients leave stock at their average cost and what you made goes into stock at what the batch really cost. Your stock value, your margins and your books stay right.
Short of an ingredient? The screen says so. You can still record the batch: its stock goes below zero until you record what you bought or count it.
A product with an expiry date (This product has an expiry date, ticked on the product) asks Use by, filled in from its shelf life. What you made goes into stock with that date and the batch's number, so the oldest is sold first and the expiry screen warns before it runs out.
To see what a batch posted in the books, open it on Making → Batches and press See it in the books: Finance → Journal opens, searched for the batch number.
- When you finish making something, go to Making → Batches and press Made a batch. It works on a phone in the kitchen.
- Tap what you made and type how many batches.
- If fewer came out than the recipe makes, type how many came out. Each one then costs a little more, so waste shows in the cost.
- Check what comes off stock and what the batch costs, then press Record batch.
Work that takes days: start now, finish later
Given up before it was finished? Press Cancel batch: the components go back on stock, and a planned batch it was making is open again.
- Press Made a batch, choose the product and how many batches, then choose Still being made and press Start batch. The components come off stock now.
- The batch waits under In progress on Making → Batches. What to make counts it as coming.
- When it is done, press Finished on its row, type how many came out (and the use-by date, if the product has one) and press Record what came out. It goes into stock at what the whole batch cost.
Plan batches ahead, and for a customer's order
What to make counts planned batches as coming, so it does not suggest making them twice. A plan you no longer need is cancelled with Cancel plan; nothing in stock changes.
- On Making → Batches press Plan a batch: choose what you will make, how many batches and the day it is needed, and add who it is for if you like.
- For an order on a quotation the customer accepted (for example a cake order), open the quotation and press Plan the batches with the day it is needed: every item you make becomes a planned batch, in whole batches.
- When it is made, press Made it on the plan: the batch form opens filled in, and recording it closes the plan.
Sold before the batch was recorded
The till keeps selling a made product even before its batch is recorded. Making → Batches then shows it in yellow with its stock below zero: press Record a batch so the stock and the cost are right.
See what to make, and what to buy for it
A product made from another recipe (a dough, a filling) is listed to make, never to buy. What is in a draft order already counts, so asking twice orders nothing twice.
The sales expected come from the nightly forecast, which needs about two weeks of sales. Until then only the minimum stock you keep counts: set it for each product on the stock page.
- Go to Making → What to make. Pick the place and how far ahead: today, or the next 3, 7 or 14 days.
- Under Make, each product shows how many batches to make and why: the sales expected, the minimum stock you keep and what other recipes need of it, less what is on the shelf.
- When a batch is done, press Made it. The batch form opens with the product and the batches filled in.
- Under Buy for these batches, each ingredient shows how much to buy, rounded up to the supplier's pack. Press Make draft purchase orders: one draft per supplier is made. Check and send them under Purchasing → Purchase orders.
An ingredient with no supplier is left out of the drafts. Link it to a supplier once (Purchasing → Suppliers) and it is ordered from them from then on.
Reverse a batch recorded by mistake
What the batch made comes off stock and the ingredients go back, at the batch's own costs. A batch whose products were already sold cannot be reversed.
- Open the batch under Making → Batches and press Reverse batch.
- Say why, for example recorded twice, and press Reverse it.
