Opening stock

Enter the stock you already have when you start with Sevo, with a unit cost, so stock levels and stock value are right from day one.

Who can do this: Needs the Adjust stock permission (Tenant admin, Store manager and Inventory clerk by default).

Before you start

Create your locations first (Inventory → Locations) and your products (Catalogue → Products, or a CSV import).

Make a list of what you have in each store: the quantity of each item and what one unit cost you. If you are coming from Excel, your last stock sheet is a good start.

Enter opening stock

  1. Open Inventory → Adjustments and click New adjustment.
  2. Choose the Location.
  3. Leave the Reason as Opening stock.
  4. In the Note box, type something helpful, for example Opening stock at go-live.
  5. In Add a line: search product or SKU…, find the first item and pick it.
  6. Type the quantity in the Qty change (±) box, for example 24.
  7. Type the Unit cost, what one unit cost you.
  8. Repeat for every item, then click Save as draft.
  9. Check the draft in the list, then click Post and confirm. The stock is now on hand.

Do one opening-stock adjustment per store. If the value is at or above your stock adjustment approval limit, it waits for an approver first. See “Stock adjustments and approval”.

Why the unit cost matters

The unit cost sets the starting average cost of each item. Sevo uses it for your stock value and for the cost of each sale, which gives your profit figures.

If you leave the cost empty, the item has stock but no cost. Inventory → Stock valuation then lists it under Lines without a cost yet, until a costed goods receipt or an adjustment with a unit cost arrives.

Import from a spreadsheet

  1. Go to Settings → Data migration and click Import from a spreadsheet next to Opening stock.
  2. Click Download template and fill one row per product and shop: sku (the item code or the barcode), location_code (empty if you have one shop), qty and unit_cost.
  3. For dated products add expiry_date as yyyy-mm-dd and, if you like, batch_no. For numbered products list the serial numbers in serial_numbers, separated by ;.
  4. Save it as CSV and click Choose CSV. Sevo checks every row and says what to fix, row by row. Fix the file and choose it again until every row is ready.
  5. Click Make the drafts. You get one opening-stock draft per shop: check and post each one under Inventory → Adjustments.

Nothing is made while one row has a problem, so a half-imported sheet never happens. Several rows of the same product in one shop become one line, keeping each expiry date and serial number.
